5. BOOKINGS AND PAYMENT PROCESSING
Booking forms (Jotform)
When you make a booking, you will complete an online booking form provided by Jotform, a third-party service. Through this form we collect personal information including your name, contact details, event details, and any other information relevant to your booking. We use this information solely to process and manage your booking and to communicate with you about it.
Jotform acts as a data processor on our behalf. We have a signed Data Processing Agreement in place with Jotform, and your data is stored on Jotform's European servers (Frankfurt, Germany). You can read Jotform's privacy policy at jotform.com/privacy.
Payment processing (Stripe)
For bookings that require a deposit or payment, you will be asked to enter your card details into a secure payment form provided by Stripe. Your card details are entered directly into Stripe's systems and are never seen or stored by us. Stripe is a certified payment processor that complies with the Payment Card Industry Data Security Standard (PCI DSS).
We receive confirmation of payment from Stripe along with limited transaction information (such as the last four digits of your card and the payment amount) for our records. How we use your booking data
We use the information collected through the booking process to:
- Confirm and manage your booking
- Communicate with you before, during and after your event
- Process payments and maintain financial records
- Meet our legal obligations (e.g. accounting and tax records)

Under UK GDPR, we rely on the following legal bases:

- Contract — for processing booking data and payments, as this is necessary to fulfil our agreement with you

7. HOW LONG WE KEEP YOUR DATA
We keep your personal data only for as long as necessary:
- Booking and event data: up to 3 years after your event date
- Financial and payment records: 7 years, as required by HMRC
- Enquiry data: up to 2 years after our last contact
- Email marketing data: until you unsubscribe
- Cookie data: as set by each cookie provider (typically 30 days to 2 years)
8. YOUR RIGHTS
